Wednesday, March 25, 2020 Update:
In these trying times, we’re happy to be able to bring you some good news. The 2021 AAES Annual Meeting will be held in Birmingham, Alabama from April 24-26, 2021. After much negotiation, we’ve been able to secure an arrangement with the local venues that is very favorable to the AAES and will help offset a significant portion of the revenue lost from having to cancel our meeting this year. We are humbled by all of our members who donated their registration fees from this year’s cancelled meeting to help make up some of the rest of the deficit (if you’d still like to donate your 2020 registration fees, please email [email protected] by Sunday, March 29). With all of these efforts, the AAES is in a good position to continue to meet our goals of educating our members and advancing the cause of Endocrine Surgery on all fronts. We hope that you’ll be able to join us in Birmingham in 2021 where we will be bringing you all of the amazing programming that was scheduled for this year and more. From there, it’s on to Cleveland in 2022. We hope that you and your loved ones stay healthy and safe. We can’t wait to see everyone again soon.

Monday, March 16, 2020 Update:
We greatly appreciate your understanding and patience as the COVID-19 situation continues to evolve. As our nation grapples with the extent of the pandemic and anticipates how to manage what is to come, safeguarding the health of our members is our most important concern. After weighing all of the available information, the AAES leadership has decided to cancel the 2020 meeting and not postpone to later dates. In making this decision, we considered numerous factors including the safety of our members, the amount of work and planning everyone has invested to participate in the meeting, and the financial health of our organization. In the end, we could not reach a satisfactory agreement with our local venues that would allow us to reschedule without taking on excessive financial risk. The long-term financial stability of the AAES was an integral part of the decision to cancel this year's meeting. Fortunately, the careful stewardship of current and previous leaders of the AAES has allowed us to remain on firm financial footing and we anticipate that there will be minimal impact on our ability to continue to advocate for and educate our members. We share your disappointment in not getting to see everyone in Birmingham this year, but we hope to bring many of the best aspects of this year’s program to you in a virtual format as well as at our Annual Meeting in Cleveland in 2021. We will continue to update you as we move forward, but for the moment, here are some critical pieces of information:

  • All registration fees will be refunded in full, including all pre-meeting events.
  • Refunds will begin to be issued the week of March 23. We appreciate your patience as AMR works through the mechanism to do this and we will issue refunds as soon as possible.
  • Inquiries about donating registration fees: As you know, the proceeds from the Annual Meeting funds all of the operations and initiatives of the AAES. We have received a number of inquiries about how members can donate their registration fees to the AAES to help defray the cost of cancelling the meeting. We never cease to be amazed at the passion and generosity of our members and are humbled by your willingness to help the AAES in these trying times. If you would like to donate your registration fees to help minimize the financial impact COVID-19 will have on the strategic plan and growth of our society, please send an email to [email protected] by Sunday, March 22. Staff will follow up with you individually about your donation.
  • Hotel room reservations: If you booked a room within the AAES room block at the Sheraton or Westin, the hotel will cancel your guest room reservations for you and issue a full refund in the coming days.
  • If you booked a room outside the AAES room block or at a different hotel, please be sure to cancel your reservation.
  • Many airlines are offering programs to either refund or credit the cost of a cancelled flight impacted by COVID-19. Please work with your individual carrier to alter your flight plans.
  • The AAES edition of Surgery will be published as scheduled, with epublication on a rolling basis, as manuscripts are accepted for publication, and as a dedicated issue in January 2021.
  • We are working on a plan to present the outstanding research papers and posters in an online format so we can share the amazing work of our community. More information to follow.
  • We are looking into hosting a social event at the American College of Surgeons Clinical Congress in October to give everyone there a chance to reconnect and see friends, old and new. Details to follow.

Thank you again for your understanding and support. The greatest strength of the AAES has always been the passion and dedication of our members. Although we are saddened to not be able to meet this year, we have no doubt that with your support, Cleveland 2021 will be one of our best meetings yet. In the meantime, we hope that you and your families will stay healthy and safe until we can see each other again next year.

Friday, March 13, 2020 Update:
As you know, we have cancelled the April 1-4 dates for the Birmingham meeting and have been working to see if we can/should reschedule it to the later summer. We continue to follow the COVID-19 situation minute by minute and work with our local vendors in Birmingham on our options. Especially in light of the declaration of a state of national emergency just moments ago, our negotiations with the local venues are ongoing. We expect to have a definitive answer for you early next week on whether or not we will hold the Annual Meeting later this year. Thank you for your patience and support. Friday, March 6, 2020 Update:
We have been closely watching the COVID-19 situation evolve over the past 48 hours.  A number of institutions and organizations have instituted domestic and international travel restrictions, and more are slated to follow.  These restrictions and current circumstances significantly limit our ability to bring everyone together for our Annual Meeting in April.  The health and safety of our members, their families, and their patients is our highest concern.  Out of an abundance of caution, the AAES leadership has decided to CANCEL the meeting in Birmingham scheduled for April 4-6 including all AAES courses and activities associated with it.  We are currently working with the local venues and vendors in Birmingham to see if we can shift the date of our Annual Meeting to sometime in the late summer/early fall. 

However, those negotiations will take some time and we wanted to give you as much notice as possible so that you can adjust your upcoming plans accordingly.  We are meeting with our local partners in Birmingham daily to discuss the potential to shift the dates for the Meeting and we will give you updates as we get more information. 

For all authors publishing their work in Surgery, the plans for review and publication will proceed as scheduled.  Paul will be in touch with you with further details.  

We would respectfully ask that you hold requests for refunds of registration fees for the moment as we determine if we can move the Meeting and figure out the logistics.  More details around registration refunds/transfers will be coming soon.  We know that everyone was looking forward to seeing one another and participating in the outstanding program that Carrie and John have put together.  We greatly appreciate your understanding and hope to be able to bring it to you this late summer/early Fall.
